How Many Shuttles Do You Need for a Wedding?

A shuttle plan lives or dies on one number: how long a full loop takes against how long you have before the ceremony. Get that right and nobody is stranded in a parking lot.

Shuttles keep guests safe and your timeline intact, but the right number isn't just “total guests divided by seats.” It depends on how quickly you need everyone delivered versus how long each round trip takes. Step 1: Count the loads

First, find how many trips it takes to move everyone once:

  • Loads = ceil(guests / vehicle capacity)

Always round up; a partial load still needs a whole trip. For 120 guests on a 24-seat shuttle, that's 120 / 24 = 5 loads.

Step 2: Find the round-trip cycle time

A single vehicle can't teleport. One complete cycle is:

  • Drive to the venue
  • Drive back to the pickup point
  • Loading time before departure
  • Unloading time on arrival

With a 20-minute each-way drive plus 10 minutes to load and unload at each end, the cycle is about 60 minutes.

Step 3: Compare the cycle to the arrival window

This is the part most people miss. The number of vehicles you need is driven by how short your arrival window is relative to the cycle time. If guests should all be at the ceremony within 45 minutes but each round trip takes 60 minutes, a single shuttle physically cannot finish even two loads in time. You add vehicles so that several loads move in parallel.

Putting it together: 120 guests, 45-minute window

  • 120 guests on a 24-seat shuttle = 5 loads.
  • Each-way drive 20 min, load/unload 10 min per end = ~60-minute round-trip cycle.
  • The arrival window (45 min) is shorter than one cycle, so one vehicle can't deliver everyone in time. Run multiple shuttles at once, or widen the window.

Practically, running two or three vehicles in parallel lets all five loads arrive within the window. The shorter the window, the more vehicles you need.

Don't forget the return trips

Plan matching return trips at the end of the night. Stagger a few departures (one early run for guests leaving sooner, a final run after the send-off) so no one is stranded and no one is forced to leave early. The late run is the one that matters most; getting tired, tipsy guests home safely is the whole reason you hired shuttles. Where shuttle plans fall apart

  • Sizing by seats alone. “Guests ÷ capacity” ignores cycle time. If the round trip is longer than your arrival window, one bus can't finish in time no matter how many seats it has.
  • Forgetting load and unload time. Boarding 24 people takes real minutes at each end; leaving it out makes the cycle look faster than it is.
  • Skipping the return trips. Guests need a way home too. Plan staggered late-night departures, not just the inbound run.
  • Booking too short a window. Shuttles bill by the hour with a minimum, so ending service right at the reception's close strands stragglers. Pad the last run.
  • Not checking venue access. A big coach may not fit narrow roads or have turnaround room — confirm before committing to one large vehicle.
